How to Delegate When You Think No One Can Do It Like You
Break free from the 'only I can do it' trap

"No one can do it like I do." True. And that's precisely what's keeping you trapped. Here's how to delegate effectively without sacrificing quality.
The Delegation Formula
The 80% Rule:
If someone can do it 80% as well as you, delegate it. Immediately. Your perfectionism is expensive.
Step 1: The Delegation Audit
Track your time for 2 weeks. For each activity, ask:
- Must be me? Only I have the expertise/authority
- Should be me? High-value use of my time
- Could be someone else? Others can handle with training
- Should never be me? Below my pay grade
The 4-Step Delegation Process
- 1. Document: Record yourself doing the task, transcribe steps
- 2. Train: Show them, watch them, coach them
- 3. Delegate: Give full authority within defined boundaries
- 4. Review: Check results, refine process, repeat
What to Delegate First
Start with low-risk, high-frequency tasks:
- • Scheduling and calendar management
- • Email responses (templates + judgment calls)
- • Invoicing and payment follow-up
- • Material ordering
- • Basic client communication
Remember: Teaching someone takes time upfront. But that investment compounds. One hour of training saves 50+ hours over the year.
